Effective from January 1, 2021, all companies submitting documents for endorsement must have previously registered at this Embassy by submitting the following documents (companies which have registered in the past must re-register according to these new guidelines):
1. Request letter
- Please complete and sign this request letter
- ALL pages of the request letter and the attachments (attachments are described in the request letter) must be signed by the signatory and his/her signature certified by a Notary Public, who MUST stamp his/her stamp and signature on ALL pages of the request letter and the attachments AND add a Notarial Certificate at the front of the request letter that strictly follows the guidelines described in paragraph 1.5 here. This Notarial Certificate must be legalized by the Ministry of Foreign Affairs of Malaysia.
Please inform to us beforehand which Notary you expect to hire for the said purpose as some specific Notaries are not accepted by this Embassy.
2. Form 9 (company registration or equivalent) (*)
3. Form 44 (company registered address) (*)
4. Form 49 (owners/directors) (*) -an up-to-date copy must be submitted in January every year-
5. Manufacturing license issued by MITI (For local manufacturing companies) (**)
6. Memorandum and articles (optional)
(*) All forms may be obtained from Suruhanjaya Syarikat Malaysia (SSM) as Digital Certified True Copies.
(**) Legalized by the Ministry of Foreign Affairs of Malaysia.
YEARLY RE-REGISTRATION
The registration is only valid for the year that it is made. However, in the years after the first registration, in case there were no changes in their owners/directors, companies will only be required to submit Form 49 (see point 4 above).
